STUDIO BOOKING

​

I have figured out a good way for you to book the studio. Please note that we will practice this for the next weeks to see if it works, you can always also quickly send me an email or whatsapp to ask if it has arrived for the first 2-3 bookings. See the screenshot examples for a visual. 

 

Here are the instructions on how to book, see the calendar and how to calculate your event time properly:

 

1. You need a digital calendar on your computer or your phone (I've sent you an invitation to your email address, every email account has a digital calendar) and there you can create an appointment after checking availability at the studio and add theradiantheartstudio@gmail.com as attendee. Then i will receive an email with the request and can accept it and it will be blocked in the Radiant Heart Studio Calendar. 

 

2. Check out the calendar here. You have also received an email today with the direct access to the calendar and add it to your calendar. I recommend getting a gmail account. I also recommend adding the gmail calendar app then it is really easy to see it on the mobile phone. 

 

3. Your Slot Choice: You can book your slot so that you enter the studio either 15 minutes before or after the next booking. So multiple bookings a day are possible but ask for correct time calculation. 

 

4. How to calculate the correct time for your studio booking: 

Arrival of the students + time of the class/workshop + tea after the class and departure of the students = Time of booking and add additional 30 min studio preparation +30 min studio cleaning. 

 

Please note that if you come earlier and need more time, you have to book that time additionally, so this means even if your workshop is 2 hours, if you hang around longer with your students, you have to calculate that as well so that it is clear for everyone what time they can come into the studio and when they have to leave.  

 

5. To book your spot after following the steps above: 

-Go to your digital calendar

-Create a new appointment with the exact time and date as calculated above and your name plus event or private class  (example: Aleks Event / Aleks Private Class)

-Add theradiantheartstudio@gmail.com to the attendees

-Send it, wait for the acceptance

 

If unsure write me via email or whatsapp the exact times and date as calculated above and I can help you to add it. Make sure you send me a screen shot of your digital calendar. Feel free to make a test this week. 

 

6. The pricing for your slots is in your contract. Please pay your bookings before the 1st of each month directly to the bank account in your contract. If you make a few bookings in advance for the same month, you can pay them all together.

7. Cancellations: If you cancel your event, send me the notification through the calendar appointment.

Cancellation fees for events and private classes:
 

Cancellation fees for events lasting 4h and LESS:

• Cancellation 4 weeks before the reservation date: 50% of the total rent.

• Cancellation 3 weeks before the reservation date: 75% of the total rent.

• Cancellation 2 weeks before the reservation date: 100% of the total rent.

 

Cancellation fees for events lasting MORE than 4h:

• Cancellation 8 weeks before the reservation date: 50% of the total rent.

• Cancellation 6 weeks before the reservation date: 75% of the total rent.

• Cancellation 4 weeks before the reservation date: 100% of the total rent.

 

If You Need to Make Changes to Your Booking:

• If you need to make changes to your booking, please get in touch with me via theradiantheartstudio@gmail.com as soon as possible and make it directly in the digital calendar.

Weekly Class Cancellation: 

• If you need to cancel a class, please inform me and the students promptly. Additionally, please make an effort to find a substitute teacher to minimize disruptions.
